  To Schedule "one-time, few-time Events"

To schedule a room for only one time or a few times, call or send the appropriate Info Desk e-mail.

The following information must be provided:

  • Date of event
  • Title of event
  • Department
  • Contact person & phone number of contact person
  • Start time & end time

  To Schedule Recurring Events

Recurring events are scheduled for two time periods and must be renewed each year.  The two time periods are:

                       January 1 through August 1        (Spring & Summer)

                       September 1 through December 31  (Fall)

Complete the Schedule Recurring Events form. 

  Priority Scheduling of Recurring Events

Twice a year, a reminder to renew recurring events is sent to all Faculty, Facility Directors and the Departments who are paying square footage costs.  A reminder is sent in December to renew events for the following Fall Semester.  A reminder is sent in May to renew events following Spring/Summer.  Requests for recurring events in NHH and MCB conference rooms (office and lab-side), with the exception of 2-101 NHH, are scheduled.

Requests for RECURRING events submitted AFTER the confirmation date will be handled on a first-come, space-available basis.  Requests for ONE-TIME events will also be handled on a first-come, space-available basis, BUT not until the recurring reservation confirmation.

E-mail requests to ahcrbms@umn.edu, include , Title of event, department, contact, his/her phone, start time & end time, start date & end date.

IF ANY SCHEDULED EVENT IS MOVED OR CANCELLED, call the appropriate info desk.

AV Equipment in 717 Delaware, Room 105
Classroom Technical Services is available to assist with AV equipment in room 105 at 717 Delaware. Because they are not able to respond on short notice, Classroom Technical Services should be booked in advance. CTS charges $55/Hour for event support; Night and Weekend events are charged a minimum of four hours. More information is available at their web site listed below.

  Scheduling Special Events (in atrium, after business hours, etc.)

Events such as receptions, gatherings, poster sessions, etc. can be scheduled in the atrium of Hasselmo Hall.  Smaller events of this type can be held in the 2nd & 3rd floor of MCB.  These events will be programmed only if the classroom associated with the atrium is reserved first.  (Due to noise issues, it is not possible to schedule one event in the classroom and another in the atrium.)

To Schedule After-Hour Events

After-hour events require one of our student employees to staff the building during the event. The charge for the student’s time, after-hours, is $9 per hour. If student staff is not available, one of our full time staff will be required at $35 per hour. The staffing for the event will need to be worked out before the event can be placed on the conference calendar.
