Out Box SOP's

  1. Purpose of Out Box: Transfer of cards from animal housing area to RAR business office on a daily basis.
    1. Out barcoded cards;
    2. Breeding cards for activation and outing;
    3. Or Temporary card requests
  2. Placement of Out Boxes
    1. Near the building exit.
    2. Examples: WDH - located in alcove; Jackson - located at entrance/exit.
  3. Investigator's/Staff's Roles
    1. When a billing unit is no longer needed - drop the cage card(s) in the Out Box to terminate per diem.
      1. If animals need to be raptored, complete a "Raptor" card and place on the cage.
      2. If animals need to be euthanized, complete a "Euthanasia" card and place on the cage.
    2. When activation of a breeding card(s) is needed - complete a breeding activation card(s) and drop in the Out Box to begin per diem.
    3. When a new barcode needs to be generated, fill out a temporary activation card(s) and drop in the Out Box to begin per diem. The RAR business office will route new cage cards to the area supervisor or animal care technician.
  4. Supervisor's/Technician's Roles
    1. If there is an empty barcoded cage, fact find, determine why.
    2. On a daily basis (by 4PM), deliver cards from the Out Box to the RAR business office.
    3. Place out cards, temporary card, and breeding activation cards into the appropriate box provided in the RAR business office. The boxes provided are labeled: "Monday," "Tuesday," "Wednesday," "Thursday," "Friday," "Saturday," and "Sunday".
      1. Consistent time for collecting cards
      2. Backup designated
      3. Out cards must be placed in the correct bin to assure that per diem billing is accurate. This is crucial.
      4. Activation date should be listed on breeding activation cards, so accuracy of bin placement is not crucial for these cards.
      5. Date should be listed on temporary cards, so accuracy of bin placement is not crucial for these cards.
    4. Separate SOP for autoclaved cards.
  5. Business Office Role
    1. Process all cards received on a daily basis (Outs, Activations, Temporary Activations).
    2. File all cards received by date entered.
    3. Route Temporary Card requests with requested cage cards to supervisor.
